HCDE faculty incidental funding policy

Overview and goals

HCDE faculty often incur incidental expenses associated with being faculty. The goal of this policy is to provide annual financial support to help cover these types of expenses, when other flexible funding sources are not available.

Faculty eligibility

Effective July 1, 2025, faculty members who are 100% FTE in HCDE and are funded to teach, at least partially, through HCDE programs (e.g., BS, MS, and PhD) may be eligible to receive Faculty Incidental funds only if they do not have access to other flexible funding sources, such as startup funds, professional development funds, or other department funded commitments.

Allocation process

At the start of each fiscal year, the Department Chair, in consultation with the Department Administrator, will reserve funds for faculty incidental expenses. These funds are derived from fee-based net returns from its self-sustaining programs.

Funds are available for one fiscal year (July 1 – June 30) and do not roll over. The total allocation will vary annually based on available resources. The general goal is to reserve sufficient funding to provide each eligible faculty member with access to up to $2,000 each fiscal year.

Requesting/use process

When submitting a request for purchase or reimbursement, indicate the use of “Faculty Incidental Funds,” and the fiscal team will assign the appropriate worktags.

Use restrictions

Faculty Incidental Funds are subject to the same restrictions as standard state funds.
