HCDE new staff checklist

The below checklist should be used by the following HCDE staff when a new staff member has been hired.

Administrator

Communications Manager

  • Add new staff member to relevant staff webpages and contact boxes on HCDE website
  • Update the online staff org chart
  • Give staff intranet access
  • Invite staff member to join the community slack 
  • Orient new staff to the branding and communication resources

Computing Manager

Pre‐start

  • UWNetID
  • Computer
    • Deploy computer (if needed)
    • Install software (if needed)
    • Install printer
  • Server
    • Grant rights to network folders  
  • Email
    • Send request to set up exchange account
    • Add to any College email lists (e.g. COE Staff list)

Post‐start

  • Show new staff how to
    • Login to computer
    • Access network folders
    • Initial email setup
    • Sharing Outlook calendar with other staff and the Chair
    • How to use remote desktop

Office Manager

  • Prepare Supplies for desk/office space
    • Place basic supplies and Faculty/Staff Directory in new staff member’s office/space
    • Include examples of department publications/handouts
  • Update printed directories
    • Update relevant signboards and directories in the building
  • Signage at staff member’s workstation
  • ​Tour of department (including main office) & introductions
    • Give tour of department and introducing new employee to fellow staff and any faculty
  • Door access/key card programmed
    • Program card to work on appropriate doors, explain access, provide codes to doors as necessary
  • Issue keys to office/space
  • Get emergency contact info (determine if employee wants to be on shared list that goes to faculty and staff), then update master contact sheet and give copies to Administrator, Chair, and Director of Student Services
  • Explain the use of hcdehelp calendar on Outlook calendar for noting days out of office, reserving exec
  • ​Access to Copier/Fax
    • Including where they are located, codes to access them, how to use them
    • Phones (including UWATS codes)
    • Get phone programmed to staff member’s name
    • Explain phone procedures, how UWATS codes work, policy on phone use
    • Room reservation and equipment access: where to find the calendars, how to make reservations, and what rooms/equipment are available
  • Set up salesforce database account, if relevant
  • New Employee Safety Orientation
    • Go over New Employee Safety Orientation paperwork, emergency procedures, exit routes, first aid supplies, Eva Black, etc.
  • Mail
    • Explain on- and off-campus mail, where the mail is located, when the mail is delivered and sent, and where mailing supplies are kept
    • Also explain express delivery options
  • Go over ordering/requesting of supplies and supply closet location
